Security Deposit Returns

The Landlord (ARPM) is required by law to mail your security deposit to the tenants on the lease within 30 days of the Lease-End Date. This Lease-End Date can be found on the front page of your lease. Please note that surrendering your keys to the office prior to the Lease-End Date does NOT constitute an acceptance by the Landlord for an early end to the lease.

Your security deposit check, made out to ALL tenants on the lease (unless other arrangements have been coordinated with our office*), will be mailed to the forwarding address that was provided at the time the keys were surrendered.

*If your group would like the check to be made payable to one tenant, who will be responsible for depositing it and distributing the funds, please contact our office ASAP to request a Security Deposit Addendum. This addendum will be sent to all tenants on the lease for electronic signature. All tenants must agree and sign the form or else it is null and void. Security Deposit Addendums must be signed and returned to the office no later than 8:00 AM on your Lease-End Date!

After-Hours Key Returns

ARPM’s office hours are M-F, 8:30 AM to 5:00 PM.  If you should be unable to return your keys during this time frame, there is a procedure in place for you to do so after hours.

  1. Please go the ARPM Rental Office (456 E Beaver Ave, Suite 101, State College, PA 16801).  This is the second door on your left after as you go down the hall past the elevators in the main lobby.
  2. Please take a labeled envelope and fill out the label with your:
    1. Name
    2. Building name/number and apartment number (if applicable)
    3. Forwarding address
    4. Phone number
    5. Email address
  3. When the keys are secured in the envelope and all appropriate information is filled out, please drop it through the mail slot on the door.  A member of our staff will pick up the dropped off keys, process the return, and issue a receipt within two business days. If you have not received a receipt after more than two business days, please contact the office (details at the end of this page)

If you are not in State College and need to return your keys, please mail the keys in a padded envelope or cardboard box to the address below. Keys will not be processed by the postal service if in a regular paper envelope.

Please be patient in waiting for your receipt because as we get closer to lease-end, the volume of key receipts to process is large and time consuming.  If you have any questions regarding this process, please email [email protected].

Forwarding Mail/Changing your Mailing Address

Please remember that the forwarding address that you must provide to ARPM is for the purpose of returning your security deposit.  You must register with the US Postal Service to have your mail forwarded or to change your mailing address.  This is most easily accomplished via their official website at http://www.usps.com.

General Cleaning and Carpet Cleaning

Cleaning your apartment thoroughly before departing is the best way to ensure a full return of your security deposit.

If you opt to hire a company to professionally clean your apartment, please be sure that they guarantee their work. If our inspectors find the need for further cleaning, we can send these cleaners to do so without additional cost to you. You must submit the receipt from the professional cleaning company no later than 8:00 AM on your lease-end date. You may bring the physical receipt to our Rental Office in person, email a copy to [email protected], or use this Move-Out Cleaning Receipt Submission Form to submit your receipt.

All carpeted flooring must be professionally cleaned. ARPM has compiled a list of carpet cleaners that we know guarantee their work.  Please be sure this is the last thing you do; it is best to do this when it is certain no one will need to access the apartment before our inspectors arrive.  Too often carpets are made dirty after cleaning, and it results in a charge against your security deposit to clean them again.  If you need to use your apartment up until the lease-end date, it is a safer route to let us hire and dispatch a carpet cleaning company then deduct the costs from your security deposit, as opposed to having to pay for the cleaning twice.

Costs for cleaning carpets, as well as other cleaning costs, can be found at the end of the Move-Out Booklet.  You must submit your carpet cleaning receipt no later than 8:00 AM on your lease-end date. Move-Out Inspection Procedure

Cleaning Inspections

Our inspectors look for items that require cleaning or items that require maintenance.  Our inspections are very thorough and cover every nook and cranny – from holes in the wall, to dust on a table, to crumbs in a kitchen drawer.  Our inspector will assign a “Status” to each item.

            “Okay” – Item requires neither maintenance nor cleaning

            “Action” – Item requires maintenance and/or cleaning

Cleaning fees are determined PER ITEM.  A list of those fees can be found in our Move-Out Booklet.

Maintenance Inspections

Maintenance inspections are reviewed thoroughly and compared to your move-in inspection to determine to whom the charge is billed: the owner or the tenant.  If the maintenance is the result of normal wear and tear or age, this charge is usually sent to the owner.  Anything beyond that and deemed to have been caused by the vacating tenants will be deducted from your security deposit.  This includes fees for labor and materials required to remedy the issue.

A commonly missed item when vacating is light bulbs.  Per your lease, YOU are responsible for making sure all light fixtures have working bulbs when our inspectors arrive.  We do charge for replacing light bulbs!

Ensuring a Good Inspection

  1. Read and follow our Move-Out Booklet and/or watch our Security Deposit Webinar.
  2. If something looks dirty, or you are unsure if it is cleaned or not, clean it!  Better safe than sorry!
  3. Do your own “Mini-Inspection” – check over your whole apartment from top to bottom: is this dusted?  Are there cobwebs?  Is the carpet cleaned and vacuumed?  Would I be comfortable moving into this apartment looking like this?  Ask a friend to come and review as well – an extra set of eyes may spot something you have missed.

Pre-Move-Out Maintenance

If something is in need of repair, please alert our Maintenance department ASAP. Letting a problem go may lead to a larger, more costly problem. Contact details for our Maintenance department can be found at the end of the page.

Please also reassemble any furniture deconstructed during your tenancy in the appropriate room. If you are not able to do so, please contact our Maintenance department for assistance and/or to let them know where the disassembled furniture is stored. We thank you for your assistance in this!
